Participation guidelines
[Participation guidelines by Overseas Media Agencies]
1. Organizer and other parties
The Organizer in this set of rules refers to the Japan Tourism Agency and Japan National Tourism Organization (JNTO); the Secretariat refers to the company entrusted by the Organizer to carry out the planning and operation of the Visit Japan Travel Mart (VJTM).
2. Intended participants
Invitation is extended to media agencies in the 15 markets covered by the Visit Japan project (i.e., South Korea, Taiwan, China, Hong Kong, Thailand, Singapore, India, Malaysia, the U.S., Canada, France, the U.K., Germany, Russia, Australia), which will be selected and approved by JNTO.
Media agencies from Taiwan will be selected by the Secretariat and approved by JNTO.
Parties accompanying media agencies from the above markets and media agencies from markets other than the above must pay their own expenses (except for official events such as the opening ceremony), and may participate in the event only upon the approval of JNTO.
3. Conditions for participation
(1) Invited media agencies
1) The media agencies must publish multiple articles on the familiarization trips and inbound business fair to be held during the event. Such articles must be reported to the JNTO.
2) The media used for publishing the articles must be capable of effectively sharing the information about trips to Japan. Such media includes trade journals, travel magazines, online articles, and blogs.
3) Freelance journalists must submit an assignment letter to the JNTO in advance.
4) The media agencies must without exception participate in official events such as the orientation and closing ceremony held during the event, and must not leave the designated venue and area during the scheduled time of the event without the permission of the Secretariat.
5) Overseas media agencies must submit reports to the Secretariat consisting of four or five lines and photographs describing the Tourism sites visited on the familiarization trips (may be electronic documents) before returning home. The media agencies must agree on the use of these reports in the Visit Japan project, including VJTM.

1) As a general rule, each invited media agency may be accompanied by one companion. However, JNTO may approve other companions. Even in such a case, there shall be no more than two companions accompanying each agency.
2) All costs and expenses required for the reports on the business fair shall be borne by the media agencies. However, participation in an official event such as the closing ceremony does not require the payment of any fee.
3) The media agencies shall pay expenses for their familiarization trips, and participation will only be allowed upon the approval of JNTO.

4. Application and registration
An applicant must apply for registration using the 'Application for Media Agency Registration' on the official website of Visit Japan Travel Mart 2011.
5. Cancelation of registration
Should the Organizer deem that the participation of an applicant is inappropriate due to such reasons as false information provided in the application, registration may be canceled even after approval is granted.
6. Deadline for applications
The deadline for applications is 5:00PM on Friday, September 2, 2011 . Please note that once the maximum number of applications has been received, subsequent applications may be rejected even before the deadline. However, the application period may be extended in case booths remain available after the deadline.

7. Cancellation of participation and withdrawal during the event
1) The cancellation of participation (including the reason) after approval must be reported in writing (and may be e-mailed) to JNTO and the Secretariat without exception.
2) Withdrawal during the event As a general rule, withdrawal from a familiarization trip, during the inbound business fair, and before the end of official events will not be permitted. However, withdrawal due to an inevitable situation must be approved by the Secretariat without exception. The participant shall pay for any expenses, such as transportation associated with withdrawal.

8. Obligation to cooperate in surveys
All participants shall cooperate with the Organizer in questionnaires and surveys to measure results for the purpose of improving VJTM.
9. Right of publicity
All participants must permit the Organizer to use their right of publicity associated with photographic records and videos of the official events (including familiarization trips) in the following forms during VJTM.
• Reports of the event on the official website of Travel Mart 2011 and in print media
• On the official website of Travel Mart for the next and following years, and in various printed materials
• On other websites and in various printed materials concerning similar events determined by the Organizer

10. Liabilities of the Secretariat
1) The Secretariat shall not be liable for any damage incurred by participants due to cancelation, early closing, or postponement of this Travel Mart, relocation of the venue, or any other change as deemed necessary and implemented regardless of reason in the interest of the participants.
2) The Secretariat shall not be liable for any accident or damage sustained by the participants, their employees or agents, the general public, or any third party due to a fire, natural disaster, theft, or any other cause.
3) The Secretariat shall not be liable for any damage caused to the structures or facilities of this Travel Mart due to negligence of the participants or their employees or agents, or any other reason.
4) The Secretariat shall not be liable for any accidental writing errors in the guidebook of this Travel Mart or in any other promotional materials.
5) The Secretariat shall not be liable for any property damage incurred by the participants, any loss of goods during transport, and the cost of transportation. Participants shall be responsible for any damage caused to their own goods due to improper packing or any other reason, or the non-arrival of their goods or other materials for exhibition.

11. Compliance with safety and relevant laws and regulations
The participants shall comply with safety, fire, and other relevant laws and regulations applicable to the venue of this Travel Mart.
12. Rejection of participation
The Organizer reserves the right to reject the participation of an applicant in this Travel Mart and eliminate said applicant’s application regardless of reason, in case the applicant violates any of these rules or has a very low number of appointments registered in advance.
13. Changes and additions made to these rules
Any matter not covered by these rules or any doubt arising from the provisions of these rules shall be resolved by the participants, Organizer, and Secretariat in good faith. All parties must ultimately follow the decision rendered by the Organizer. The Organizer may revise or add a provision to these rules after notifying the participants, if such a change is deemed necessary for the purpose of this Travel Mart. The participants must be aware of the latest version of the rules as notified by the Organizer or posted on the official website.
14. Settlement of a dispute
Any dispute arising from these rules shall be brought before the Tokyo District Court of Japan. If, however, the parties to the dispute agree to settlement by arbitration and have appointed an arbitrator, the dispute will be settled as decided by the arbitrator.
Expenses

Lunch:
Between the first day of the familiarization trips [between Nov. 18 (Fri) and 20 (Sun), 2011] (varies depending on the course of the familiarization trip) and the final day of the inbound business fair [Nov. 23 (Wed), 2011]
Dinner:
Between the first evening of the familiarization trips [between Nov. 18 (Fri) and 20 (Sun), 2011] (varies depending on the course of the familiarization trip) and the final evening of the inbound business fair [Nov. 23 (Wed), 2011]
* The meals include meal coupons and meals provided at a reception.
(3) Transportation
International airfare (economy-class airfare specified by the Secretariat), airport tax/service charge, and other charges
* Participants shall bear any service fee or cancellation fee charged for a change made after the airline tickets have been issued. Expenses for transportation in Japan and during the familiarization trips, and facility admission fees The bus to the airport on the day following the inbound business fair (limited to the bus designated by the Secretariat)
* Participants shall pay for transportation from the airport to the hotel after arrival.
(4) Other
Expenses for international delivery of materials obtained at the inbound business fair
* There is a maximum limit to these expenses. Participants shall pay for any expenses exceeding the limit.

The following hotel is available on the day you arrive in Japan (though daily availability may vary depending on the course of the familiarization trip you choose to participate in), and from the day before the first day of the inbound business fair to the last day of the fair (check-in on November 21 (Mon), checkout on November 24 (Thu)).

Visit Japan Travel Mart 2011 will hold the following familiarization trips before the start of the inbound business fair.
Carefully check the descriptions of each course and register your first, second, and third choices. The course that you will participate in will be determined after adjustments are made according to the condition of applications.
